Terms and Conditions

1. General

By booking or participating in any activity, experience, or tour operated by Arctic Origins, you agree to these Terms & Conditions. These terms apply to all individual travelers, unless otherwise agreed in writing. Arctic Origins reserves the right to change these terms without prior notice.

 


 

2. Booking and Confirmation

Your booking is confirmed once full payment has been received and a confirmation email has been sent. Payment is made through our online booking platform, powered by Bokun and processed via Stripe.

Minimum number of participants per tour is 2 adults unless otherwise stated. If this minimum is not met, Arctic Origins reserves the right to reschedule or cancel the tour. In case of cancellation due to low participation, a full refund will be issued.

 


 

3. Payments and Cancellation Policy

100% prepayment is required at the time of booking.

Cancellation must be made at least 24 hours before the tour start time to receive a full refund.

Cancellations made less than 24 hours before the tour or no-shows are not refundable.

Medical cancellations are accepted if a valid doctor’s note is provided prior to the activity start time. In such cases, a full refund will be issued.

To cancel or reschedule, contact us by email or WhatsApp using contact details below.

We do not charge a cancellation fee, but cannot offer a refund if the cancellation is made too late. Rescheduling is free of charge but must be requested at least 24 hours in advance and is subject to availability.

If Arctic Origins cancels the tour (e.g. due to adverse weather or unforeseen circumstances), we will first attempt to reschedule. If rescheduling is not possible, a full refund will be provided.

 


 

4. Changes and Rescheduling

Changes to your reservation can be made free of charge if requested at least 24 hours in advance. We will do our best to accommodate your request. If we are unable to reschedule, you will receive a full refund.

 


 

5. No-Show Policy

Failure to show up for a tour at the agreed time and location will be treated as a no-show. No refund will be issued. Please ensure you are present and ready at the time and meeting point provided in your confirmation email.

 


 

6. Language

All our services are provided in English. If you require services in another language, please contact us in advance as availability is not guaranteed and additional charges may apply.

 


 

7. Duration Disclaimer

Tour durations are approximate and may vary due to weather, group size, road conditions, or other unforeseen factors. Arctic Origins is not liable for changes in duration as long as the core experience is provided.

 


 

8. Participation and Responsibility

Minimum age to participate is 4 years. Guests must notify us in advance of any mobility issues or special needs. We aim to be inclusive but cannot guarantee accessibility without prior notice.

You are responsible for your own health and personal belongings during the tour. Arctic Origins is not liable for injuries unless caused by our gross negligence or faulty equipment. We do not replace travel insurance, and all participants are advised to have personal coverage.

 

 


 

9. Weather and Safety

Arctic Origins reserves the right to cancel or modify tours for safety reasons, including but not limited to:

  • Adverse weather conditions

  • Unsafe road or trail conditions

  • Equipment malfunction

  • Guest behavior under the influence of drugs or alcohol

Tours may include icy, slippery, or rugged terrain. Participation is at your own risk. Arctic Origins is not liable for any injury or damage resulting from natural terrain unless due to our own negligence.

 


 

10. Equipment & Liability

Arctic Origins provides the clothing and gear listed in the tour description.

Guests are responsible for returning all gear in the condition it was received.

Arctic Origins reserves the right to charge for lost or damaged equipment.

While Arctic Origins holds valid liability insurance under Finnish law, liability is limited to damages caused by our gross negligence or willful misconduct.

We are not liable for any indirect, incidental, or consequential damages.

This does not replace your need for travel or medical insurance.

 


 

11. Drugs and Alcohol Policy

Participation under the influence of drugs or alcohol is strictly forbidden. Arctic Origins reserves the right to refuse service without refund if a participant appears intoxicated or unfit to join.

 


 

12. Photography and Marketing Use

Photos and videos may be taken during tours for promotional purposes. By joining, you agree that Arctic Origins may use these images in digital and printed marketing. If you do not wish to appear in media, please inform your guide in person or email us in advance.

 


 

13. Partner Tours & Third Parties

Some activities may be operated by trusted third-party partners (e.g. reindeer safaris, husky rides, snowshoeing). In these cases:

  • Arctic Origins acts solely as a sales agent.

  • The partner’s terms and conditions apply.

  • Arctic Origins is not liable for injuries, damages, or cancellations that occur under the third party’s operation.


 

14. Force Majeure

Arctic Origins is not liable for failure to perform obligations due to circumstances beyond our control, including but not limited to:

  • Natural disasters

  • Pandemics or government-imposed travel restrictions

  • Strikes or labor actions

  • Political unrest

  • Road closures or flight delays


 

15. Personal Data Handling

Arctic Origins processes personal data in accordance with the EU General Data Protection Regulation (GDPR).

By booking with us, you consent to the collection, use, and storage of your personal data for booking, communication, and marketing purposes as outlined in our Privacy Policy.

We do not share your personal data with third parties without your consent except as required by law or to facilitate your booking.

You have the right to access, rectify, or delete your personal data by contacting us.

 


 

16. Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of Finland. Any disputes will be settled in the District Court of Lapland (Lapin Käräjäoikeus), Rovaniemi, which shall have exclusive jurisdiction.
